2. Scope of this notice

This notice applies to the OneClick Translator Discord application. The separate Kamilunavo website privacy policy applies when visiting kamilunavo.com.

3. Data processed by the bot

Depending on the feature used, the service processes the following categories:

• Discord server ID, channel IDs, user ID and message ID;
• configured translation channels and server plan status;
• the target language selected by a user for a particular server;
• message text when a user actively requests a translation;
• translated text, target language and detected source language in the translation cache;
• monthly source-character counts and translation-request counts per server;
• aggregated operational metrics such as requests, cache hits and API translations;
• information deliberately submitted through the private /report-issue command;
• technical event and error information required for security, stability and troubleshooting.

The bot does not request Discord passwords, payment-card details, postal addresses or phone numbers.

4. When message content is processed

In configured channels, the bot observes new Discord messages so that it can attach the translation button. Message text is sent for translation only after a member actively clicks the button or selects the message command Translate privately.

The translation is returned as an ephemeral Discord response. This means the result is displayed only to the requesting member and is not posted as another public channel message.

5. Purposes and legal bases

• Provide the requested translation and product functions: Art. 6(1)(b) GDPR where processing is necessary to provide the requested service or perform a subscription agreement.
• Remember languages, channels and plan settings: Art. 6(1)(b) GDPR and Art. 6(1)(f) GDPR.
• Measure monthly limits, prevent abuse and maintain availability: Art. 6(1)(f) GDPR. The legitimate interest is the secure and economically sustainable operation of the shared service.
• Handle support and privacy requests: Art. 6(1)(b), (c) or (f) GDPR, depending on the request.
• Comply with statutory accounting or evidence obligations: Art. 6(1)(c) GDPR.

6. Translation cache

To avoid sending identical translation requests repeatedly, the service creates a SHA-256 cache key from the source text and target language. The database stores this key together with the translated text, target language, detected source language and creation time.

Cached translations are used for up to 30 days and entries older than 30 days are deleted automatically. A hash is a technical lookup key; it does not make the separately stored translated text anonymous.

7. Service providers and recipients

• Discord: provides the communication platform, application commands, messages, identifiers, ephemeral responses and Premium App subscription flow. See Discord Privacy Policy ↗.
• DeepL SE, Cologne, Germany: receives message text selected for translation and returns translated text and the detected source language. See DeepL Privacy Policy ↗.
• Railway Corporation: provides the bot hosting and PostgreSQL database infrastructure. Railway may process data in the United States and other available regions under its contractual transfer safeguards. See Railway Privacy Policy ↗.

Data is not sold to advertisers or data brokers.

8. Important DeepL API notice

The bot deployment may use DeepL API Free or a paid DeepL API plan depending on the active operator configuration. These plans have different contractual rules regarding content retention and the processing of personal data.

Users must not submit passwords, access tokens, payment information, confidential business information, special-category personal data or other content they are not authorised to send to a translation provider. Server administrators should inform members that selected message text is transferred to DeepL when translation is requested.

9. Retention

• User-language settings and configured translation channels are retained while needed to provide the service.
• Server configuration, user-language settings and monthly usage records for a server are deleted when the bot is removed from that server, subject to backups and mandatory retention.
• A user can delete saved language settings across servers with /delete-my-data.
• Cached translations are deleted after approximately 30 days.
• Monthly usage and aggregated operational metrics are retained as necessary for limits, billing, security and service analysis.
• Support reports are retained until the issue is resolved and afterwards only as long as reasonably necessary for evidence, security or legal obligations.
• Technical logs are retained only as long as necessary for security and troubleshooting.

10. Premium subscriptions and billing

Premium App purchases are processed by Discord. Kamilunavo receives entitlement information needed to activate or remove the Premium plan for a server, but does not receive the user’s complete payment-card details. Discord’s own terms and privacy information apply to its billing process.

11. International transfers

Discord and Railway may process data outside the European Economic Area. Where required, the relevant provider uses recognised transfer mechanisms such as adequacy frameworks or standard contractual clauses. The provider policies linked above contain further information.

12. Data-subject rights

Subject to the statutory requirements, users may request access, correction, deletion, restriction, portability or object to processing based on legitimate interests. A complaint may also be submitted to a competent supervisory authority, in particular the State Commissioner for Data Protection and Freedom of Information North Rhine-Westphalia.

Requests can be sent to contact@kamilunavo.com. Include the relevant Discord user ID and, where applicable, server ID so the records can be located. Never send a password, bot token or API key.

13. Children

OneClick Translator is intended only for people who meet Discord’s minimum age requirements in their country. Server operators remain responsible for configuring and moderating their Discord communities.

14. Changes

This notice is updated when the bot, its providers, retention periods or legal requirements change. The version published on this page is authoritative.
